What would you like to get out of today?

I would like to explore more aspects of time management – including prioritizing tasks, delegating responsibilities.  Also, like to focus on project management – discussing the phases of project management from developing a project plan to setting benchmarks and following through on project execution. 

Challenges – employees not completing tasks – 90% trap.  Holding employee accountable.

Effective communicators are able to put information in the context of the receiver to achieve shared meaning. The job of a manager is to get things done through other people.  DelegationTwo types:

  1. Gopher delegation
  2. Stewardship delegation – aka results oriented delegation à always look for ways to do this.

Two polar management styles:

  1. Autocratic
    1. ‘cracking the whip’, what I say goes
    2. No trust
    3. Process oriented delegation
  2. Developmental
    1. Encourage growth of employees
    2. Self-governing employees
    3. Trust
    4. Employee inclusion and involvement

In between these two extremes is a management style called SITUATIONAL.3 Solution Rule – Let your employees know that you are willing to listen to their problems but only if they come in with three possible solutions.Also have the employee identify the consequence for not completing the expectation.Precall – Set and clearly communicate expectations in advance.  The more people know expectations in advance the more they are motivated to get it done. HOW TO HANDLE DIFFICULT PEOPLE:1.  People aren’t difficult, they are just different. By looking at these people as ‘different’ rather than difficult, we are viewing them with the possibility that they can change.
2.  People act difficult because they have a need that is not met. Need to figure out what that need is and then meet that need while maintaining strong positive boundaries.

Steps to the Sunday Night Plan

  1. Roles & Goals - Create three columns (spreadsheet, paper, etc) headed “Roles”, “Goals”, and “Steps”.  List your various roles (parent, spouse, job responsibilities, etc. under the heading Roles and list in order of priority (highest priority first) and make sure to include SELF as one of the roles..  Under Goals list goals for each of those roles (short term, long term and lifelong). Under Steps - list the steps you are going to take this week to attain these goals. 
  2. Questions to Help with Prioritizing (Quadrant II questions) - What new and smarter ways can I find to do the job?  What systems can I put in place to better handle crises?  Team members?   (Better communications, training, software, etc.).  This helps you remain PROACTIVE.  Investing some time now for a pay-off on time later on.
  3. Allocate Time.  Allocate time for everything in that third column.  MAKE SURE TO PAD TIME to allow for things from Quadrant I that pop up.  Estimate crisis time.
  4. Reverse Prioritization.  If I can’t get it done this week, what can I put off until next week. 
  5. Move to Planner.  Put into your Outlook or whatever daily planner you use.
